• Terms & Conditions of Service

    1. Definitions
      • Scope: This defines the general terms and conditions that shall apply to all consultancy agreements involving Animal Internal Medicine Consultants. These clauses are incorporated into and form an integral part of our contract.
      • The Parties: Animal Internal Medicine Consultants (hereinafter known as AIMC) and the Client ‘the Client’ is the party to whom a contract of supply exists.
      • Primary Care Veterinarian (hereinafter known as PCV): The veterinarian with a veterinary client-patient relationship (hereinafter known as VCPR).
      • Membership Plans: The plans that require a “Membership Fee” and are considered ongoing retention of Consultancy Services and access to our consultancy services without scheduling an appointment.
      • Membership Fee: These are monthly, non-refundable, prorated fees and can best be defined as a monthly subscription to our Consultancy Services.
      • Consultancy Time: Includes but is not limited to time to review records, x-rays, lab work, time to assess and plan, and direct communications with you, the Client, and your PCV.
      • Telehealth: Involves the use of electronic communications to enable animal health care providers at different locations to share individual patient medical information to improve animal care

    3. Statement of Professional Standards
      • AIMC will conduct its business following the professional standards laid down by the Veterinary Medical Board.
    4. Consultancy Services
      • AIMC will provide consulting services via Telehealth to the Client relating to veterinary medicine (hereinafter known as “service(s)”).
      • The terms of this agreement will commence when the Client or Primary Care Veterinarian pays their first invoice from AIMC or receives their first consultation, whichever comes first.
      • It is Consultancy Time that AIMC is billing on the Client’s invoice.
      • Consultancy Services to be provided are outlined in this site’s “Plans & Pricing” webpage and are defined as a “Plan”.
    5. Payment Terms
      • General
        • The Client agrees to the requirements outlined within the “Plan” and this document’s “Terms and Conditions”.
        • All payments or agreements for payments are due upon receipt and are charged directly to the credit card on file after the consultancy record has been completed and delivered to the Client. This is also outlined in the “Plan”.
        • All invoices rendered by AIMC are due upon receipt and are charged directly to the credit card on file.
        • If the Client fails to make any payment when requested, AIMC reserves the right to withhold delivery of any further Consultancy Services and will not be responsible for any inconvenience, loss, or consequences so caused.
      • Membership Plans
        • Membership Plans start when the first payment is made.
        • Membership Fees start when the Membership Plan starts.
        • Membership Fees are non-refundable and are prorated if the client chooses to either end or switch from a Membership Plan.
        • Membership Fees will be charged monthly as an automatic subscription with a charge to the credit card on file.
        • All Membership Plans allow for SMS Text as a form of communicating with AIMC. By selecting a Membership Plan, the client accepts, by default, to opt-in to SMS Text as a form of communicating with AIMC (It is possible that additional carrier costs and fees may apply). If the client does not wish to allow for SMS Text as a form of communicating with AIMC as part of their Membership Plan, the client may opt-out by completing the SMS Opt-in/Out form available on this website.
    1. Availability of Services
      • Service availability is outlined in the “Plan”.
      • From time to time, service will not be available on “blackout dates” due to holidays, unexpected emergencies, and personnel time off. All attempts will be made to inform all active clients of these “blackout dates”.
    2. Cancellation Rights
      • AIMC reserves the right to cancel the contract of services for any reason.
      • The Client may cancel the contract of services at any time. Any balance (credit) remaining will be refunded. Any outstanding balances/invoices that are still owed are due immediately and will be charged to the credit card on file. If the outstanding balance/invoices are not paid within 90 days of canceled service, we will refer this case to an outside source for collection.
      • If a Concierge Membership Plan client cancels their plan, they will be subject to the restrictions of the said plan if they choose to rejoin.
      • Unless an agreement is made between the Client and AIMC in writing, the Client may not cycle through the cancellation of the contract of services and reengage for services more than 4 times a year. Doing so causes an undue burden on AIMC and our intent is not to allow a revolving door of services.
    3. Data Protection and Integrity
      • Electronic systems used will incorporate network and software security protocols to protect the confidentiality of client and patient identification and imaging data and will include measures to safeguard the data and to ensure its integrity against intentional or unintentional.
    1. Client Consent for Telehealth Services
      • The Client understands that the laws that protect the privacy and the confidentiality of medical information also apply to telehealth and that no information obtained in the use of telehealth that identifies the client will be disclosed to researchers or other entities without consent.
      • The Client understands that they have the right to withhold or withdraw their consent to the use of telehealth during the patient’s care at any time, without affecting the patient’s right to future care or treatment.
      • The Client understands that they have the right to inspect all information obtained and recorded during a telehealth interaction and may receive copies of this information for a reasonable fee.
      • The Client understands that a variety of alternative methods of medical care may be available to the patient and that they may choose one or more of these at any ­­­It is the Client’s responsibility to discuss these alternatives with their PCV to the Client’s satisfaction.
      • The Client understands that telehealth may involve electronic communication of the patient’s medical information to other medical practitioners who may be in other locations, including out of state.
      • The Client understands that they must inform their PCV of electronic interactions regarding the care that they may have with other AIMC does send a report of the Client consultation to PCV as standard procedure. AIMC can also send copies to any other veterinary care providers upon the request of a client. An option to provide a secure portal to your providers and family members is available through IDEXX NEO.
      • The Client understands that they may expect the anticipated benefits for the patient from the use of telehealth in their care, but that no results can be guaranteed or assured.
      • The Client understands that in an emergent consultation, the responsibility of the telehealth consulting specialist is to advise their primary care veterinarian or attending DVM and that the specialist’s responsibility will conclude upon the termination of the conference connection.
